The Management System
The Civil Projects Manager, Precast Manager and Plant Manager all report to the managing director to discuss methodologies, plant and resource requirements before project commencement.
Briefly the system used is as follows:
- On acceptance of the tender the necessary insurance, bonds etc are organised
by the Projects Manager. A file for the job is compiled and copies of all
correspondence relating to the contract are kept on this file. Claims are
prepared at the end of each month and faxed to the engineer on the first
or second working day of the month. A simple check-sheet is kept in the
front of the job file as an “aide memoir” for the relevant items.
- Prior to work starting on site a simple program of work is prepared and
orders placed for materials needed for the work with suppliers. A copy of
the program is given to the client, Project Supervisor and other intended
parties. A hazard identification list is drawn up by the Project Manager
and other staff working on the site which then forms the basis for the weekly “tool
box” meetings. This list is incorporated in our site-specific safety
plan that is prepared and a copy kept on site for all staff and other people
on the site to follow.
- Once work commences on site the Projects Manager carries out day-to-day
management. He visits the site at least once a week and is available at
most other times by R/T, Cell phone, fax or telephone. A Project Supervisor
is on site generally at all times or in his absence he will delegate responsibility.
Problems are discussed as they occur and are normally resolved at the same
time. Diary records of weather, work achieved, visitors to site, instructions
given etc are kept.
- As previously indicated claims are submitted (spreadsheet) on a monthly
basis at the end of each month. Invoices for work completed and certified
are sent on request. Any reports required are submitted on or before the
due date.
- Regular meetings are held at the head office to ensure effective communication
and smooth flow of contract work, with supervisors, managers and any other
technical or specialist staff as necessary. Instructions from the engineer
or his representative that effect the work are in writing and generally
all follow up instructions are in writing to the engineer.
Health & Safety Plan
The company has a comprehensive and certified Health & Safety system. Regular
reviews and on-going monitoring form an integral part of our company's policy
and commitment to safety and health in the workplace.
Contract Quality Plan
A contract quality plan (CQP) will be employed upon award of contract. The CQP will ensure full compliance with all contractual requirements and specifications.
The company currently operates a system to Transit approved TQS2 and are currently in the process of upgrading to TQS1 certification. Further consideration and commitment may be made to pursue ISO registration.
Information Systems
The company uses the full Microsoft suite of software packages including
Word, Excel, PowerPoint, Access and Project. An electronic accounting system
creates monthly invoices and financial reporting. All desktop systems and
electronic files (including correspondence, e-mail, quotes and other literature)
are secured by a modern Windows 2003 Server Domain Server. Our staff, where
necessary, are able to connect remotely to our secure Terminal Server when
working on-site.
Should the need arise; we have technical personnel available 24-hours-a-day to resolve any urgent issues and maintain a normal, productive ICT system.
Traffic Management
All Traffic Management will be in accordance with the requirements outlined in Transit New Zealands 'Code of Practice for Temporary Traffic Management'.
